Duties and Responsibilities:
  • Client Interaction & Coordination & Front Desk: Be the welcoming voice of Essenza, routing calls promptly and efficiently while managing client schedules and appointment follow-ups. Significant scheduling and administrative support.
  • Support the Medical Team: Coordinate results and post-visit planning with the Essenza clinical team, ensuring clients receive timely updates and personalized care.
  • Own the Client Experience: Support the client through the Essenza clinical visit and coordinate the end of visit debrief making sure clients feel confident in their care and understand next steps for their on-going health care.
  • Confidentiality & Trust: Maintain client privacy with the utmost discretion and integrity, keeping all medical and personal information strictly confidential.
  • Administrative Excellence: Stay organized by managing both electronic and paper records, tracking labs and other diagnostic procedures, and ensuring seamless office operations.  Order medical equipment, medications, immunizations, medical supplies and office supplies.  Maintain an effective and efficient supply inventory system that tracks expiration dates and is neat and orderly.
  • Flexible Support: Provide after-hours and weekend assistance as needed, ensuring our clients always receive luxury, first-class service.
Qualifications:
  • High school diploma or equivalent
  • Certified Medical Assistant
  • Knowledge of HIPAA compliance regulations
  • Proficiency with Electronic Health Records (EHR) systems.
  • Outstanding communication skills, both verbal and written, with the ability to adapt to various audiences
  • Proven ability to maintain confidentiality and discretion in a medical environment
  • Strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities simultaneously
  • A collaborative, team-oriented approach to problem-solving and service
Preferred Qualifications:
  • Two years previous experience, preferably in a concierge clinic
  • A luxury customer service mindset, with a knack for anticipating needs and providing exceptional service
  • Independent work ethic with minimal supervision
  • Strong Microsoft Office skills and familiarity with Lab systems

  • Physical demands include the ability to sit, stand, bend, and kneel for extended periods, as well as lift up to 25 pounds
